FOXCADEMY

This Privacy Policy describes personal data processing of users of www.foxcademy.com webpage and Foxcademy studying platform (hereinafter “Platform”).

Fox Solutions OÜ, registry code 12875597, address Harju maakond, Tallinn, Pirita, Puki tee 31-2, 11912 (hereinafter “Foxcademy”) is the controller of personal data.

Educational institution (hereinafter “School”) is the processor of the personal data. The School signs a service provider agreement to use and to grant students access to www.foxcademy.com and the Platform.

Pursuant to the service provider’s agreement signed between the School and Foxcademy, Foxcademy gives access to www.foxcademy.com Platform (hereinafter “Platform”), where School may administrate students’ studying outcomes and evaluate study results.

Personal Data means any information which directly relates to the user of www.foxcademy.com, Platform and/or www.foxcademy.com services (hereinafter “Services”). In particular by reference to an identifier such as a name, date of birth, contact information, location data, an online identifier etc.

Processing means any operation carried out with Personal Data (collection, recording, storing etc.).

Which personal data do we collect?

Foxcademy collects the following Personal Data from students when they register as a user: first name, surname, date of birth, email address, chosen curriculum, school. Foxcademy collects the following personal data from School teachers: first name, surname, email address, School. Foxcademy processes personal data to fulfill the agreement (Terms of Use), to identify the users and grant them access to the service.

School is the controller and Foxcademy is the processor of Personal Data of students studying activities (tasks, duties, posts, comments, tests, analyses, etc.) which occurs during the use of the service.  

To process personal data of a child aged under 13-years, Foxcademy will send a notice to a parent about the child’s use of Service. The parent has a right to deny child’s access to Foxcademy Platform and Services.

Software service of Intercom chat is used for Services. Chat data is stored at Intercom cloud service. Foxcademy uses the data from the chat to collect feedback and to provide client support service. In case of the anonymous chat (without a user account) Foxcademy does not identify the person, whose data has been collected at Intercom service.

Which is the purpose of collecting Personal Data?

School teachers may monitor the whole class and activity of the students. In addition to studying material, teachers may use different tools to organize students’ work and use analytic tools to use monitor studying results.

Foxcademy processes Personal Data for the following purposes:

Access and transmission of personal data

Employees of Foxcademy have access to personal data as far as it is necessary to fulfill their work duties.

Foxcademy does not share, publish or sell Personal Data to third parties. Foxcademy may forward Personal Data of users to third parties (e.g. technical support) if it is inevitably necessary for providing the Service.

Chats performed via www.foxcademy.com will be restored at Intercom server. Only the employees of Foxcademy, using the data for analysing the user experience of the Platform, have access to chat data.

Safety of personal data

Personal data collected from Platform is saved to secured servers, that are located on the territory of the Republic of Estonia. A user account is accessible with email and password.

Foxcademy has implemented appropriate technical and organisational measures to ensure safety (including protection against unauthorized or unlawful processing and against accidental loss, destruction or damage) of personal data. Data processing agreements will be signed with schools.

If the requirements for processing personal data are violated and such violation may be high risk to user’s privacy, Foxcademy informs the users and adequate authorities about such violation.

Rights

A user of www.foxcademy.com has the right to request rectification of his or her Personal Data, to access his or her personal data and to object processing his or her personal data. Such claim shall be submitted to school.

A user of www.foxcademy.com has the right to request the erasure of personal data, after which we inform about the conditions and deadline of erasure of personal data. Foxcademy will not erase personal data if it has a legal basis to retain them.

Foxcademy does not provide an automated service for the users to delete their personal information, since the platform is often used by common service computers (e.g. library or classroom computers) and thus, there is a risk that a user might leave their account logged in and another person can maliciously request the erasure of personal data.

A user of www.foxcademy.com has the right to receive Personal Data in a machine-readable format and forward such data to another data processor.

Retention of Personal Data

Personal Data of www.foxcademy.com account will be retained as long as the user erases his or her user account. To erase the account, a person owning the account shall send such email to info@foxcademy.com.

Posts, chats, comments and other information saved by Foxcademy will be retained as long as an owner of account requests deleting such data.  

Personal data may be retained in anonymized format to compile statistics and analyses. In case of dispute, personal data will be retained until reaching an agreement or until the deadline for filing claim expires.  

Cookies

Cookies are small text files installed to a user’s computer from webpages that user is visiting unless the user has disabled installation of any or all cookies from his or her browser settings.

Cookies allow recognizing user’s device used while visiting websites.

www.foxcademy.com webpage uses cookies to save user’s identification token but it does not save user’s username nor password. Saving such token allows users to stay logged in to the Platform, which means that a user does not have to log in every time visiting the Platform. In addition to that, cookies are used to save user’s settings (language, content group – I.B curriculum and Estonian curriculum, etc.).

Foxcademy uses Google Analytics, Segment and other analytic tools to offer better user experience and to collect information to develop the service. Analytic tools are operating on the basis of cookies and users have the right to deny such cookies.

User has an option to change browser settings to accept all cookies, some cookies or just cookies that are critically necessary for operating the service. More information about setting cookies according to one’s own preference will be found from web browser’s instructions. Pay attention that if you deny all web browser cookies, some functionalities of www.foxcademy.com may not be available for use.

Other conditions

Foxcadamy may send direct marketing notices to user’s email if the user of Foxcademy Services has given such consent. Users may quit receiving such notices at any time.

Foxcademy has the right to modify the Privacy Policy at any time. Foxcademy informs about modifications of Privacy Policy at Foxcademy webpage www.foxcademy.com.
